1. General Policies

Professional Standards: All services are provided by licensed or certified professionals under the guidance of Dr. Nina Ross.
Scope of Care: We focus on functional medicine and holistic wellness. We do not replace emergency medical services or primary care.

2. Appointments

Scheduling: Appointments must be scheduled in advance via our online booking system or by phone.
Arrival: Please arrive 10 minutes early to ensure timely check-in.
Late Arrivals: If you arrive more than 15 minutes late, your appointment may need to be rescheduled.

3. Cancellations & No-Shows

Cancellation Window: Cancellations must be made at least 24 hours in advance.
Late Cancellation: Cancellations within 24 hours are subject to a fee of $50 or forfeiture of prepaid session.
No-Shows: Missed appointments without notice will be charged the full session fee.

4. Payments & Refunds

Payment Methods: We accept cash, credit/debit cards, HSA/FSA, and approved financing options.
Payment Due: Payment is due at the time of booking or service.
Refunds: All service sales are final. Product refunds may be issued for unopened, unused items returned within 14 days.

5. Programs & Packages

Commitment: Multi-session programs (e.g., Restorative Therapy, Weight Loss) require full or installment payment before the first session.
Transfers: Packages are non-transferable.
Expiration: All sessions must be used within the time period specified at purchase.

6. Client Responsibilities

Disclosure: Clients must provide accurate health history, current medications, and known allergies.
Compliance: Following recommended protocols (supplements, at-home care, follow-up visits) is essential to achieving best results.
Communication: Notify our office promptly of any concerns or adverse reactions.

7. Privacy & Confidentiality

HIPAA Compliance: All client records are confidential and stored securely in compliance with HIPAA regulations.
Information Sharing: We do not share personal or health information without written consent.

8. Code of Conduct

Respectful Environment: We maintain a safe and respectful atmosphere for clients and staff.
Harassment Policy: Any form of harassment or inappropriate behavior will result in termination of services.

9. Safety & Medical Disclaimer

Medical Emergencies: If you are experiencing a medical emergency, call 911 immediately.
Results: Individual results vary. We do not guarantee outcomes, as they depend on each client’s unique health profile and compliance.
Consent: By receiving services, you acknowledge and accept these policies and the risks associated with treatment.
